Role Description
We are seeking a Programme Coordinator to work as part of a team in coordinating our inbound tour groups to Ireland.
This is a full-time hybrid role for an Inbound Tour Programme Coordinator based in Cork, with some flexibility for remote work (up to 2 days per week working from home with 3 days in our Cork City Centre office). There is also the opportunity to do a 9 day fortnight using our flexi-time policy. This equates to spreading 2 weeks work over 9 days instead of 10 days.
The Programme Coordinator will be responsible for programme management and development, communication with partners, customer service, and project management. The Programme Coordinator will also work closely with the Programmes and Operations team to ensure successful implementation of incoming visiting tour group visits to Ireland
The Ideal Candidate
- The ideal candidate will be an impeccably organised person required to assist a busy team in making advanced bookings with hotels, restaurants, cultural and heritage sites, lectures and coach tours etc.
- They will be required to coordinate our inbound Road Scholar Groups and liaise in writing or by phone with the visiting participants prior to arrival in Ireland. They will send out ‘Welcome Packages’ and travel advice to all incoming visitors and deal with their queries prior to arrival in Ireland.
- Ideally the applicant will be from a tourism/administrative or hospitality background with strong organisational skills and capable of solving problems and thinking on their feet.
Responsibilities of The Programme Coordinator
- Advance bookings and re -confirmations of all visits, lectures, tours and meals.
- Liaising with partners on all aspects of programme administration.
- Troubleshooting issues in a timely manner.
- Out of hours work as required when on emergency phone duty. This is done on a rota.
- Report to the Manager of the Groups Department.
Role Requirements
- Outstanding organisational skills
- Capable of working independently and having a very disciplined approach when working from home. Comfortable working as part of a team of energetic colleagues.
- Good working knowledge of Google Suite.
- Competent communicator with excellent interpersonal skills and a polished phone manner with fluency in English.
- Strong negotiation skills in dealing with our clients and our service providers.
- Adept at quick and efficient problem solving and thinking on one’s feet.
- Required to have a performance driven approach while aiming for excellence.
- A people person.
- Display a passion for tourism, heritage and culture.
- Legally eligible to work in The Republic of Ireland.
Desirable experience
- Previous experience in a tourism background, or in a senior reservations department in the hospitality sector.
- Experienced in a Tour Operator software system or similar reservation and booking software systems, preferably Tourplan. (Nitro, Ezus, Tourwriter, Bókun)
- Have an extensive knowledge of the island of Ireland; culturally, geographically and linguistically.
